The short version
We collect what we need to run a free workshop safely and to tell you when the next one is. We do not sell your information, we do not share it with other organizations, and we do not use it for advertising. If you want it deleted, email us and we delete it.
This policy covers this website and our programs. Our two free apps — Med-Surg Discovery and Money Sense Discovery — report a student’s progress back to us with a parent’s consent, and are covered separately: App Privacy Policy.
What we collect, and why
Program registration
The student’s first name, age, school grade, and optionally their school; the parent or guardian’s name, email address and phone number; the program you are interested in; and anything you choose to write in the optional message box.
Why: to confirm a place, to check the student is in the age range a program is designed for, to send you the consent and waiver, and to reach a parent on the day if we need to.
Since September 2026 the registration form is handled by the Foundation’s own website rather than by an outside form service, so a child’s details no longer pass through a third party on their way to us.
Parental consent record
When you tick the consent box on the registration form we record that you ticked it, which version of the wording you were shown, the date and time, and the IP address the form was sent from.
Why: a consent is only worth something if it can be evidenced. The IP address is held as proof of when and from where consent was given — it is not used to identify, locate or track anyone, and it is deleted along with the rest of the registration.
Program access codes
If your child’s program includes one of our free apps, we issue a single access code for that child and email it to you. We store the code only as a one-way cryptographic hash, never as readable text, so nobody — ourselves included — can look it up and read it back. If it is lost we issue a new one rather than recovering the old one.
Why: so that the progress an app reports back can be counted for the right student without the app ever handling a child’s name. What the apps send, and what they never send, is set out in the
App Privacy Policy.
Where a family lives, and which school
The registration form asks for your home ZIP code, the school your child attends, and how you heard about us.
Why: the funders and regulators who pay for these programs ask us to show which communities we actually reach. A ZIP code and a school name let us answer that from public information already published about neighborhoods and schools, instead of asking families personal questions about their circumstances. We never ask a family’s income.
We use this only in totals. Anything we publish is a count of students by area or by school, with small groups held back so that no individual child can be picked out of it. Your child’s ZIP code and school are never published on their own, never sold, and never shared outside the Foundation. They are deleted with the rest of the registration.
Newsletter
A first name and an email address.
Why: to tell you when program dates are announced. Nothing else. You can unsubscribe from any email we send, and the link is in every one.
Contact and volunteer forms
Your name, email, phone if you give it, and your message.
Why: to reply to you.
Donations
Donations are processed by Stripe on Stripe’s own secure pages. Card details are never entered on this website and we never see or store them. We receive your name, email address and the amount, so that we can send an acknowledgement letter for your tax records.
Children’s information
Registration is completed by a parent or guardian, not by a student. We ask for the minimum a safe program requires and nothing more — we do not ask for a date of birth, an address, a medical history or a student’s own contact details through this website.
A student’s information is used only to deliver the program they are registered for and to keep them safe while they are with us. It is never used for fundraising, marketing or publicity, and it is never given to anyone outside the Foundation.
Medical and emergency information is collected separately, on the signed consent and waiver, and is held only for the duration of the session it relates to.
Who else handles your information
We are a small organization and we use a few outside services to make the website work. Each one sees only what it needs to:
Web3Forms
Delivers our
contact and volunteer form submissions to
info@globalmapfoundation.org. Submissions are stored on their servers, encrypted, and automatically deleted after 30 days.
Program registrations no longer go through this service — they are received and stored by our own website, so no student’s details reach it.
Kit
Holds our newsletter list — first name and email only — and sends the emails. Your record is removed when you unsubscribe.
Google
Google Analytics counts visits to this website and tells us which pages people read. It is not connected to a registration and never receives a student’s name. Google also serves the typefaces this site is set in, which means Google sees the address of anyone who loads a page here, as it does on most of the web.
Jetpack
Protects the site from attack and keeps a basic count of visits. It sees the pages requested and the visitor’s IP address.
Stripe
Processes donations and holds the payment record, as any payment processor must for its own legal and accounting obligations.
Our web host
Keeps standard server logs, which include visitors’ IP addresses, as every website host does.
We do not sell your information, rent it, trade it, or share it with other charities or any commercial organization.
Photographs and video
We photograph and film our workshops, and we publish those images on this website, in printed materials and on social media. No student is photographed without a signed parental consent, which forms part of the waiver you sign before a session.
We never publish a student’s full name, school or any detail that would let a stranger identify or locate them alongside their photograph. If you change your mind, write to us and we will remove the images we control.
How long we keep things
Registration and program records are kept while a student is taking part and for as long afterwards as we need them for our own reporting to funders and regulators — then they are deleted automatically. App progress records are deleted on the same schedule. When we delete a student’s record we keep a single line noting that a deletion happened and when, with nothing in it that identifies the student, because we have to be able to show a deletion was honoured. Newsletter records are kept until you unsubscribe. Donation records are kept as long as tax law requires. Records relating to a child safety concern are kept permanently and securely, as our Child Abuse Prevention Policy requires.
Your choices
Write to info@globalmapfoundation.org and you can ask us to:
- Tell you what information we hold about you or your child
- Correct anything that is wrong
- Delete it
- Stop emailing you
- Remove a photograph
We will respond within 30 days. You do not need to give a reason, and asking will never affect your child’s place in a program.
Cookies
This website sets the cookies WordPress needs to function, and runs Google Analytics so we can see how many people visit and which pages they read. Analytics is not tied to a registration, a student or a named person, and it is not used to build a profile of you. Jetpack keeps a similar basic count for site security.
We run no advertising trackers, no retargeting or remarketing pixels, and no social media tracking of any kind — there is no Meta, TikTok or LinkedIn pixel on this site. We do not sell or share audience data with anyone. Our advertising is a Google Ad Grant, which places our programs in search results; it does not follow you around the internet afterwards.
Changes, and how to reach us
If we change this policy we will replace this page and the new version applies from the day it is posted. Questions about anything on it can go to a person, not a form:
